Project Coordinator (Design)
JOB DESCRIPTION
Position Summary
The Project Coordinator owns communication, organization, and follow-through from the moment a remodeling project enters design through readiness for production.
This role exists to ensure information is clear, decisions are documented, materials are ordered correctly, and projects move forward smoothly. You will be a steady point of contact for clients, a support to designers and leadership, and a steward of details across systems and timelines.

Work Hours & Location
This is a full-time position. Work is to be performed primarily at our office, located at 780 Eden Rd., Lancaster, PA, or in the field with clients.

Key Responsibilities
Client Support & Day-to-Day Communication
- Serving as a consistent, warm point of contact for clients during design
- Sending regular project updates and following up on open items
- Preparing meeting agendas and sending clear post-meeting notes
- Helping clients understand what’s coming next and what’s needed from them
- Answering incoming phone calls when needed, particularly when the primary client experience lead is out of the office
Organizing Decisions, Details & Next Steps
- Tracking design decisions, selections, approvals, and next steps
- Making sure information is documented, accurate, and easy to find
- Updating expected timelines based on decisions, approvals, and material lead times
- Flagging risks or delays early and clearly
- Supporting leadership with reliable, up-to-date information for planning
Selections, Ordering & Production Preparation
- Placing orders for approved design-related materials
- Tracking lead times and delivery schedules
- Receiving and inspecting materials upon delivery to confirm accuracy and condition
- Coordinating resolution of issues before they impact schedules or the jobsite
- Confirming projects are truly ready before moving into production

Requirements
General
- Of working age for tasks required and have proper working paperwork.
- Active driver's license, safe driving record, and reliable transportation
- Able to lift at least 25 pounds.
- Be able to physically maneuver around construction sites at any stage of construction (i.e. foundation, framing, total enclosure)
- Available for communication between 8:00am and 5:00pm Monday-Friday
Technology & Software
- Proficient in Google Apps and/or MS Office Suite
- General computer and internet skills
- Comfortable with mobile devices
- Computer savvy and comfortable learning new software.
Education & Experience
- Experience in coordination, client service, operations, or project support preferred
- Comfortable with digital tools such as Google Workspace or Microsoft Teams
Not Required (But Nice to Have)
- Experience in residential remodeling or design-build
- Familiarity with construction finishes and fixtures
- CAD or design software experience (Chief Architect, SketchUp, Revit, etc.)
- Rendering or visual presentation skills
